HR Payroll Assistant 

The HR Payroll Assistant manages the payroll cycles, benefit programs, and HR administrative tasks, including onboarding, employee updates, and leave management, while collaborating with external providers and supporting HR projects and procedures.

Responsibilities

  • Payroll & Benefits Administration
    • Oversee the payroll cycle and manage employee benefit programs in coordination with external providers
    • Generate and distribute payroll reports for HR, Finance, and general management purposes
  • Employee Lifecycle Management
    • Facilitate onboarding for new employees, including system registration and orientation
    • Manage offboarding processes, including system updates and coordination of outplacement services
  • Regulatory & Health Compliance
    • Maintain accurate employee records for regulatory bodies and occupational health services
    • Coordinate employee health checkups and ensure compliance with workplace safety standards
  • Leave & Absence Management
    • Process requests for parental leave, maternity leave, and time credit, including communication with relevant authorities
    • Monitor and manage vacation requests, ensuring timely approvals and accurate tracking in HR systems
    • Handle sick leave cases, including long-term absences and recurring issues, in collaboration with HR and department heads
  • HR Communication & Support
    • Manage the HR mailbox and respond to employee inquiries in a timely and professional manner
    • Serve as a point of contact for employee-related matters, including documentation and general HR support
  • HR Projects & Process Improvement 
    • Collaborate with the HR team on the implementation of new procedures and initiatives
    • Contribute to continuous improvement of HR operations and employee experience
  • Incident & Claims Management
    • Report and follow up on work-related accidents, including coordination with insurance providers and affected employees
  • General HR Administration
    • Perform various administrative tasks to support HR operations and ensure data accuracy across systems

Education 

  • Diploma of secondary education

Main Requirements 

  • Payroll Management: Minimum 3 years of experience managing payroll cycles and benefit programs, preferably with knowledge of systems like SD Worx
  • HR Administration: Proven experience in HR administrative tasks such as onboarding, employee updates, leave management, and handling HR-related inquiries
  • Reporting Skills: Ability to draw and analyze reports for HR, Finance, and general information purposes
  • Communication Skills: Excellent communication skills for collaborating with external providers and internal teams, including excellent written and verbal communication skills (Dutch + English) and basic understanding of written and verbal French
  • Knowledge of Employee Benefits: Familiarity with employee benefit providers and programs (e.g., DKV, Vivium, Monizze)
  • Legal and Regulatory Compliance: Understanding of local labor laws and regulations, including handling work-related accidents and leave requests
  • Technical Proficiency: Proficiency in HR systems and software for managing employee data and requests
  • Organizational and Multi-tasking Skills: Strong organizational and multi-tasking skills to manage multiple tasks and deadlines efficiently
  • Interpersonal Skills: Excellent interpersonal skills to effectively interact with employees and external providers

Working Conditions

  • Contract type: Interim position
  • Work Schedule: Full-time (38 hours per week), Monday to Friday, 9:00 AM to 5:00 PM
