Summary

The Administrative Assistant is responsible for providing general administrative support with various tasks, including (not limited to): greeting clients, answering phones, coordinating meetings, creating and maintaining the internal intranet site, data entry, and other key administrative tasks as assigned.

 

Responsibilities

  • Schedule meetings, create and distribute agendas, take minutes;
  • Draft and distribute internal communications;
  • Maintain intranet (SharePoint) landing page;
  • Be the first point of contact for clients, visitors and suppliers entering the organization;
  • Sort and distribute incoming and internal mail and deliveries;
  • Data entry, copying, filing and scanning of documents;
  • Organize company lunches and events;
  • Coordinate and keep track of break room equipment maintenance;
  • Ensure entry and common areas are kept tidy;
  • Provide additional support to various departments as needed.

 

Main Requirements

  • Degree or diploma in Business Administration or equivalent work experience;
  • Minimum 3 years of experience with administrative duties in an office setting;
  • Strong computer skills and experience with the MS Office suite (Outlook, PowerPoint, Excel, Word);
  • Experience with MS SharePoint, an asset;
  • Customer service oriented;
  • Self-starter who shows initiative and can manage multiple tasks/projects with minimal supervision;
  • Excellent organizational, time management and teamwork skills;
  • Strong communication skills, both verbally and in writing;
  • The successful candidate will be required to pass a criminal record check.
     

Working Conditions

  • Permanent, full-time work (40hrs/week): Monday to Friday 9:00 am to 6:00 pm.
